REGISTRATION – Policies and Procedures

REGISTRATION FEE


Online registration

Online registration allows you to save your registration
profile and to make changes up to January 17, 2010.
Badges will be printed and mailed to you after this date.
Any changes after this date are subject to a $15 fee to
cover badge reprint costs.
Please register online to ensure accuracy. The form on
the next page is available only if you do not have online
access.

Early bird: December 23, 2009

Badge mailing
Delegates who register before January 17, 2010 will
receive their badge in the mail (no onsite line-ups!) If not
received by January 31, email info@accessola.com.

Online registration Closes: February 17, 2010.
After this date all registrations are completed onsite, and
subject to a $40 surcharge.

OLA Affiliate members – Eligible for member rates
Members of provincial and territorial library associations
in The Partnership may attend at OLA member rates. In
Ontario, OLA member fees are extended to members
of the OLA’s affiliate, the Ontario Health Libraries
Association and to the Ontario Association of Library
Technicians.

Non-members
Since this program is created for OLA members by OLA
members, discounts are not extended to those members
of the Ontario library community who do not support the
Association. Simply become a member and then get the
reduced rate for Super Conference!

Administrative guests
Administrators, mayors and reeves, school principals
and others who make decisions about college, university,
school and public libraries are invited to attend one
complimentary day as the Association’s guest. Public
Library Trustees newly appointed since Super Confernce
2009 may attend as the guest of a fully registered
trustee from the same board. Members wishing to invite
administrative guests must register them using the guest
feature when submitting their registration.

Students
Student members are defined as those who are full
time in a post-graduate or a library technician program.
Given the low cost of student membership, non-member
students are not eligible for special rates. Teachers
who are AQ students must enroll through their course
instructor. Please contact your course instructor for
registration details.

Speakers and Convenors
Speakers must register online using the registration form
on the OLA website to receive special rates. Convenors
are reminded that regular registration is required.

Spouses And Friends
Delegates wishing to bring a spouse or friend to social
events may purchase a ticket. Any other event requires
Super Conference registration.

Confirmations
Badge, official receipt and tickets should be received by
delegates in the mail before february 16 if registration is
received by January 17. Your confirmation is provided by
email when you register online.

Cancellations and refunds
Cancellation requests must be received by mail or fAX by
february 17, 2010. An 85% refund for cancellations prior
to December 23, 2009 (early-bird date) will be provided. A
70% refund will be provided after this date up to february
17. Since all financial commitments must be made by
february 17, no refunds are possible after that date. NSf
bank charges are billed to the person registered. Any
registrant with an outstanding debt will not be processed
until the amount owing is paid. Changes in the program
are not acceptable grounds for refund. Other choices can
be made.

Registration Fees
All conference fees are subject to 5% Goods and Services
Tax. The Association reserves the right not to process a
registration until payment is received by cheque or credit
card. Reduced early-bird fees are offered to spread the
workload of the conference; extensions to individuals can
not be given. Post-dated cheques will not be accepted.
Membership must be current at the time of registration
for preferred member’s rates.

Deals: Scholarships and Subsidies
Special opportunities ranging from free registration to
subsidized travel and expenses are available. Please refer
to page 9 of the program or the website for details.

Full Conference Provides
• All plenary and workshop sessions in 13 distinct time
slots.
• unlimited entrance privileges to EXPO 2010, Canada’s
largest library tradeshow.
• The official Super Conference program
• The new redesigned Super Conference 2010 souvenir
bag, courtesy of Brodart
• Social events including the Wednesday opening party,
the Thursday afternoon reception at EXPO, all award
receptions, the friday night all-conference party and the
Saturday gala luncheon.

Single and Multiple Day Packages
Single and multiple day packages provide those privileges
appropriate to the days chosen. Although there should
not be a shortage of bags, if one occurs, priority will be
given to full conference registrants.
